People & licences
Everyone on this engagement, their tickets and expiry states — staff, casual crew and contractor crew in one list
🪪
White Card & high-risk licences are the gate. Anyone working construction-class tasks (rigging, working at heights, EWP, set construction) must hold a current White Card plus the relevant high-risk work licence. Missing or expired tickets are flagged below so you fix them before bump-in. WWCC is tracked as an optional credential here — only required when minors are part of the engagement.
🔒
SWMS task-assignment is gated. A person can only be assigned to a high-risk task if they hold a current licence for that work. Expired or expiring-before-engagement-dates tickets are flagged below so you fix them before bump-in.

expiring before engagement dates
expired.
Engagement dates used for the expiring check: 14–19 Sep 2026 (sample). Contractor crew appear here automatically once their rep adds them via the Contractor portal below. WWCC shown for transparency — it does not block an engagement unless minors are involved.
Contractor portal
Deal with one rep per company — they upload certs and add their crew; the crew flow straight into the engagement
📑
Make PL + WorkCover a condition of the quote. Send each contractor an upload link; their rep uploads the company Public Liability and WorkCover Certificates of Currency and adds each crew member with White Card + high-risk tickets. Once added, that crew flows automatically into EasyScheduler and the engagement people list above — sign-on, supervision count and "who's on site" already include them. No re-keying.

Incident + near-miss register
Log it, track it, flag the notifiables — WHS Reg 36–39| Date | Type | What happened | Person | Status |

Notifiable incident? Under WHS Reg 36–39, a death, serious injury/illness or dangerous incident must be reported to the regulator (WorkSafe) immediately. Entries flagged NOTIFIABLE need regulator notification and the scene preserved.

At strike, freeze the whole production into one dated audit bundle — kept for 7 years
🗄️
Each archived production is a single dated audit bundle containing the SWMS register, sign-on logs, incident register, contractor PL + WorkCover certificates and licence records — everything you'd hand a regulator or client. Bundles are kept for 7 years from creation; at retention we surface a delete prompt (you decide).

Retention: WHS records are generally kept 7 years. EasyRisk reminds you on schedule when a bundle reaches retention — nothing is auto-deleted; you confirm.
